How to Read a Laboratory Analytical Report for Research Materials

A laboratory-safe guide to reviewing analytical reports and Certificates of Analysis: identifiers, HPLC and LC-MS sections, purity versus identity, red flags, and a printable review checklist. Research use only.

What an analytical report is

In research procurement, an analytical report is the laboratory documentation that ties a specific material lot to named test methods and recorded observations. It supports reproducibility and audit trails — not clinical decision-making.

Summary COA versus full analytical report

Laboratories often receive a concise Certificate of Analysis (COA) that summarizes lot identifiers and key results. Some suppliers also provide a longer report package with method details or supporting figures.

Neither format is universally required by every institution. What matters is that the document you archive is lot-linked, method-named, and sufficient for your SOP — and that you do not treat marketing PDFs or demo certificates as laboratory records.

Material and lot verification

Before interpreting any result field, confirm that the report belongs to the container in hand. Material name, strength or presentation language, and lot (or batch) identifier should align across the vial label, purchase record, and analytical document.

Suppliers may use “lot” and “batch” interchangeably. Consistency across documents matters more than the word choice. If identifiers disagree, pause release and escalate.

  • Lot or batch number matches the vial label
  • Quantity / presentation matches receiving notes when relevant
  • No forced match when a field is blank — escalate instead

Sample ID and report ID

Some laboratories and contract labs print internal sample IDs or report numbers in addition to the supplier lot number. Those identifiers help your archive, but they do not replace lot linkage to the vial.

When a report ID is present, record it in LIMS or the notebook alongside the lot field. When it is absent, do not invent one to “complete” a row.

HPLC section

When a report cites high-performance liquid chromatography (HPLC), look first for a named method or technique statement, then for how the primary peak or analyte is described. Chromatograms, when attached, are supporting evidence — not marketing artwork.

  • Technique or method name is stated (not only “tested”)
  • Result language is tied to the same lot identifier
  • Any attached chromatogram is archived with the lot — not replaced by a stock image

LC-MS section

Liquid chromatography–mass spectrometry (LC-MS) is commonly used for identity-oriented evidence. Look for technique naming and whether the identity statement is clearly separated from purity quantification.

Purity versus identity

Treat identity and purity as separate documentation questions. Identity asks whether observations are consistent with the expected compound under a named method. Purity asks how the primary analyte is quantified under that method’s rules.

A report that answers only one question may still be useful — but institutional SOPs should state whether both are required before release. Catalog target purity is not a lot measurement. See purity versus identity for a fuller framing.

Dates, laboratory information, and method identifiers

Useful reports typically include a report or test date that is plausible for the receipt window, and enough laboratory or method identification for your archive. Exact accreditation claims should appear only when they are actually stated on the document — never invent laboratory names or seals.

Method identifiers (names, codes, or technique labels) should be specific enough that a future reader can understand what was claimed. Vague “passed QC” language without a technique is a documentation gap.

Common report red flags

Escalate when a certificate is missing, lot linkage is absent, methods are unnamed, or the supplier cannot produce a file that matches the vial. Placeholder, demo, or generic marketing certificates are not research documentation.

  • Results that cannot be archived with the experiment series
  • Marketing claims substituting for laboratory data
  • Storefront target purity presented as if it were a measured lot result

Analytical report review checklist

Use this printable checklist as a template for institutional SOPs. Adapt fields to your release policy. It is not a certificate and does not authorize material use beyond research documentation practice.

  • Lot / batch identifier matches the vial and purchase record
  • Material name matches the SKU received
  • Report or test date is present and plausible
  • Sample ID / report ID recorded when present (not invented when absent)
  • Identity method named when identity is claimed
  • Purity method named when purity is claimed
  • Identity and purity treated as separate questions per SOP
  • No reliance on catalog target purity as a lot result
  • Red flags escalated; quarantine decision documented if required

Strong laboratory practice stores the analytical report (or Vault link) with the notebook or LIMS entry for that series. Retention periods belong in institutional policy. Prefer append-only notes when certificate status changes (for example, pending → on file).

Frequently asked questions

What is the difference between a summary COA and a full analytical report?
A summary Certificate of Analysis typically lists lot identifiers, named methods, and key results. A full analytical report may include additional method conditions, supporting chromatograms or spectra, and laboratory narrative. Your SOP should define which level of documentation is required before material release.
What if the lot on the vial does not match the report?
Pause release into critical experimental series and escalate to procurement. Do not invent missing identifiers or force a match. Quarantine handling belongs to institutional policy.
Does a purity percentage prove identity?
No. Purity describes quantification of a primary analyte under a named method’s rules. Identity asks whether observations are consistent with the expected compound. Treat them as separate documentation questions.
Can storefront “target purity” replace a lot-linked analytical result?
No. Catalog target purity is a product specification language, not a measured lot result. Archive lot-linked certificates or mark documentation pending honestly.
What should be archived with the experiment series?
