Fake COA Red Flags for Research Laboratories

How laboratory teams spot weak or fabricated Certificates of Analysis for research materials: lot mismatch, missing chromatograms, unverifiable labs, and documentation red flags — research use only.

Why laboratories care about fake or weak COAs

A Certificate of Analysis is only useful when it ties a specific physical lot to measured results. Fabricated, recycled, or incomplete certificates break that chain and put assay interpretation at risk.

This article focuses on documentation red flags — not on diagnosing fraud for legal purposes. When in doubt, quarantine material under your SOP and escalate to your QA owner.

Red flag: lot number does not match the vial

The lot or batch identifier on the certificate must match the identifier on the vial label and the purchase record. A polished PDF for a different lot is not documentation for the material in hand.

Also check that the material name and nominal fill match what you ordered. Mismatched identity fields are a stop condition for most receiving SOPs.

  • Certificate lot blank, generic, or “N/A”
  • Lot on PDF differs from vial / packing list
  • Same PDF reused for multiple lots without unique identifiers

Red flag: purity number without chromatogram or method

A headline purity percentage without method context is marketing-grade language, not a reviewable analytical result. Laboratories typically expect a named technique (for example HPLC for purity claims) and enough detail to archive the claim.

Identity confirmation is a separate question from purity. A purity figure alone does not prove the main peak is the named sequence — see purity versus identity.

  • “99% pure” with no technique named
  • No chromatogram, peak table, or method identifier when purity is claimed
  • Identity asserted without a suitable identity procedure (often MS-based)

Red flag: testing laboratory cannot be verified

Prefer certificates that name a real testing organization you can recognize or follow up with. Vague “third-party tested” claims without a lab identity are weaker than a named laboratory and report identifiers.

Accreditation logos (when present) are not a substitute for checking that the document is lot-linked and method-complete. Do not invent laboratory names in your own records when the certificate omits them.

Red flag: impossible dates or template artifacts

Report or test dates should be plausible for the manufacturing and receipt window. Future dates, obviously recycled templates with unchanged sample IDs, or placeholder fields left as “XXX” are documentation failures.

Demo, sample, or marketing certificates must never be archived as if they were lot release documents.

  • Visible template placeholders or watermarked “sample” language treated as final
  • Storefront catalog target purity pasted into a PDF as if it were a measured lot result

Red flag: documentation access is obstructed

Procurement teams should be able to review lot-linked documentation before material enters critical experiments. Suppliers that refuse pre-purchase documentation, rotate files that cannot be archived, or contradict RUO boundaries with lifestyle claims raise process risk.

  • Lot / batch on certificate matches vial and purchase record
  • Material name matches the SKU received
  • Report or test date present and plausible
  • Testing organization named (or absence explicitly escalated)
  • Purity method named when purity is claimed
  • Chromatogram or peak table present when your SOP requires it
  • Identity method named when identity is claimed
  • No reliance on catalog target purity as a lot result
  • No demo / sample / placeholder certificate archived as final
  • Quarantine decision recorded if any stop condition is met
  • Certificate or Vault link archived with the experiment series / LIMS entry

Frequently asked questions

Does a high purity percentage prove a COA is real?
No. A percentage without a lot match, method detail, and a verifiable testing source is a weak document. Purity and identity are separate questions.
What if the supplier says the COA is available after purchase only?
Treat delayed access as a documentation risk for procurement. Serious research purchasing usually reviews lot-linked documentation before release into inventory.
Is an empty Vault a red flag by itself?
An honest empty or pending Vault means lot certificates are not published yet. That is different from a vendor showing a generic PDF reused across many lots. Confirm status for the specific lot you received.
